Job Description

We are looking for an Executive Aide to join the School of Medicine Dean’s Office at Case Western Reserve University. As the executive aide, you will play a crucial role in managing the daily operations, facilitating communication, and providing comprehensive administrative support to the dean and chief of staff. This position requires a high level of independence and the ability to ensure that office functions run smoothly and efficiently.

Responsibilities

  • Manage the dean and chief of staff's schedules and coordinate travel arrangements.
  • Act as a liaison between the dean's office, academic units, and external contacts.
  • Provide executive assistance to streamline administrative tasks for the dean.
  • Participate in strategic planning and program implementation with the dean and chief of staff.
  • Support School of Medicine students and assist with HR functions and special projects.

Requirements

  • 10+ years of progressive administrative experience, preferably in a university or non-profit executive office.
  • Associate’s degree required; Bachelor’s degree preferred.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency in Microsoft Office and Google products.
  • Ability to work independently, collaborate with a team, and maintain confidentiality.

Working Conditions

This role involves working in a fast-paced environment with varying priorities and schedules. Flexibility and adaptability are key, as some early mornings, evenings, and weekends may be required.
