Job Description

We are looking for a detail-oriented Executive Aide to join our team at Case Western Reserve University. As the Executive Aide for the School of Medicine Dean’s Office, you will play a crucial role in managing the daily operations, facilitating communication, and supporting strategic initiatives. Your work will enable smooth operations, allowing the dean and chief of staff to focus on their leadership responsibilities.

Responsibilities

  • Manage office operations efficiently, including maintaining calendars, coordinating travel, and handling communications.
  • Act as a liaison between the dean, chief of staff, academic units, and external stakeholders.
  • Provide executive assistance to streamline administrative functions and support decision-making processes.
  • Participate in strategic planning, program implementation, and special projects.
  • Support students, assist with HR functions, and contribute to financial planning and budget development.

Qualifications

  • 10+ years of administrative experience, preferably in a university or non-profit executive office.
  • Associate’s degree required; Bachelor’s degree preferred.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to work independently, collaboratively, and under pressure in a fast-paced environment.
  • Proficiency in Microsoft Office and other relevant office technologies.

Working Conditions

This role involves managing short lead times, conflicting priorities, and complex office functions. Flexibility with schedule, including early mornings, evenings, and weekends, is required.
