Job Description

We are hiring an Executive Aide to join the School of Medicine Dean’s Office at Case Western Reserve University. This role requires a high level of independence to manage the daily operations and support the dean and chief of staff in providing effective leadership for the school. As the executive aide, you will play a crucial role in maintaining office functions, coordinating schedules, and acting as a liaison with various internal and external stakeholders.

Responsibilities

  • Maintain calendars, coordinate travel arrangements, and manage communication for the dean and chief of staff.
  • Act as a link between academic units, administrative offices, and the dean's office, processing strategic information and resolving important matters.
  • Provide executive assistance, handle correspondence, and support faculty and students within the School of Medicine.
  • Participate in strategic planning, assist with special projects, and contribute to financial planning and budget development.

Qualifications

  • 10+ years of administrative experience, preferably in a university or non-profit executive office.
  • Associate's degree required; Bachelor's degree preferred.
  • Strong administrative, organizational, communication, and problem-solving skills.
  • Ability to work independently, collaborate effectively, and maintain confidentiality.
  • Proficiency in Microsoft Office, Google products, accounting, and budgeting.

Working Conditions

This position involves handling short lead times, conflicting priorities, and the pressures of a fast-paced office environment. Flexibility with work hours, including early mornings, evenings, and weekends, is required.
