Executive Aide - Comprehensive Benefits Package
Position Objective
Working with a high degree of independence, the Executive Aide for the School of Medicine Dean’s Office manages the daily operations to ensure smooth, effective, and efficient functioning. This role enables the dean and chief of staff to focus on providing leadership for the school.
Essential Functions
- Responsible for the efficient running of the office, including maintaining calendars and travel arrangements, monitoring mail, and maintaining confidentiality.
- Acts as a link between the dean and chief of staff and academic/administrative units, process complex information, and manage external interfaces.
- Provides executive assistance, serves as a link to the School of Medicine faculty, and participates in strategic planning.
- Handles communication between the Dean's Office and students, assists with candidate visits, and conducts institutional research.
- Assists in financial planning, budget development, and reconciling expenses.
Qualifications
- Experience: 10+ years in administrative roles, preferably at a university or non-profit executive office.
- Education: Associate's degree required; Bachelor's degree preferred.
Required Skills
- Strong administrative, organization, and communication skills.
- Ability to work independently and collaboratively, maintain confidentiality, and deliver excellent customer service.
- Proficiency in Microsoft and Google programs, problem-solving, and adaptability.
Working Conditions
This role involves handling short lead times, conflicting priorities, and the use of computers and telephones. Flexibility in scheduling and availability for early mornings, evenings, and weekends are required.
