Job Description

We are looking for a dedicated Executive Aide to join our team at Case Western Reserve University. In this role, you will provide high-level administrative support to the School of Medicine Dean’s Office, ensuring smooth operations and facilitating the leadership responsibilities of the dean and chief of staff. Your contributions will be essential in maintaining efficient office functions and promoting effective communication within and outside the institution.

Responsibilities

  • Manage the daily operations of the Dean’s Office, including maintaining calendars, coordinating travel arrangements, and serving as a point of contact for scheduling.
  • Act as a liaison between the dean, chief of staff, academic units, and external contacts, handling confidential information and resolving significant matters on their behalf.
  • Provide executive assistance to streamline administrative tasks, communicate with faculty members, and support strategic planning initiatives.
  • Engage in institutional research, contribute to financial planning, and prepare reports to assist in decision-making processes.
  • Collaborate with peers to support candidate visits, act as the HR liaison, and ensure compliance with university policies and procedures.

Qualifications

  • 10+ years of progressive administrative experience, preferably in a university or non-profit executive setting.
  • Associate’s degree required; Bachelor's degree preferred.
  • Strong organizational and communication skills, attention to detail, and ability to work independently as well as part of a team.
  • Proficiency in office technologies, MS Office Suite, and other relevant software applications.
  • Ability to prioritize tasks, demonstrate problem-solving skills, and maintain confidentiality.
