Job Description

We are looking for an Executive Aide to join Case Western Reserve University's School of Medicine Dean’s Office. As the executive aide, you will play a key role in managing daily office operations and supporting the dean and chief of staff in providing effective leadership for the school. This is a full-time position with a focus on ensuring the smooth functioning of the office to enable strategic decision-making and communication within the organization.

Responsibilities

  • Manage calendars, schedules, and travel arrangements for the dean and chief of staff.
  • Act as a liaison between the leadership team and academic/administrative units.
  • Provide executive assistance to streamline administrative functions.
  • Participate in strategic planning and program implementation.
  • Facilitate communication between the Dean’s Office and students, faculty, and external stakeholders.
  • Assist with HR duties, financial planning, budget development, and institutional research.

Requirements

  • Minimum of 10 years of progressive administrative experience, preferably in a university or non-profit setting.
  • Associate’s degree required; Bachelor’s degree preferred.
  • Proficiency in office technologies, organizational skills, and time management.
  • Excellent communication skills and ability to work independently or as part of a team.
  • Strong problem-solving abilities, attention to detail, and discretion with confidential information.
  • Familiarity with Microsoft Office, Google products, and willingness to learn new tools.

Working Conditions

This role involves handling short lead times, conflicting priorities, and varied office functions. The position requires flexibility with schedules, including occasional early mornings, evenings, and weekends.
