Executive Aide - PTO + Holidays

Job Description

We are looking for an Executive Aide to join Case Western Reserve University as part of the School of Medicine Dean’s Office team. In this role, you will play a crucial part in managing the daily office operations to support the dean and chief of staff, ensuring the smooth functioning of the office and enabling them to focus on leading the school effectively.

Responsibilities

• Manage calendars and coordinate travel arrangements for the dean and chief of staff.
• Act as the main point of contact for their schedules and handle incoming communications efficiently.
• Facilitate communication between the leadership team and academic/administrative units.
• Assist with strategic planning, program implementation, and special projects.
• Support interactions with students, faculty, and external contacts.
• Conduct institutional research to aid decision-making processes.
• Assist in financial planning, budget development, and expense monitoring.

Qualifications

• 10+ years of progressive administrative experience, preferably in a university or non-profit executive setting.
• Associate’s degree required; Bachelor’s degree preferred.
• Strong organizational skills and proficiency in office technologies.
• Excellent communication, problem-solving, and customer service abilities.
• Flexible, detail-oriented, and able to work effectively both independently and in a team.

Working Conditions

This role involves managing short lead times, conflicting priorities, and complex office functions. It requires flexibility in scheduling, including occasional early mornings, evenings, and weekends.
